Configuring the event

There are some configuration decisions to make when you set up an event - that are well worth thinking about up front because they may be more difficult to change later when attendees have started registering

Role Group

Ask MeetMax to help you choose the best role group for your event (one type of role group is Groups Mode). Roles are categories of attendee that share characteristics and permissions. Types of role are

  • Attendee
  • Exhibitor
  • Company
  • Company or Exhibitor Rep

And characteristics of roles include:

  • Company or Person?
  • Standalone or a guest/child of another role (eg, Exhibitor Reps may fall under the Exhibitor company role)
  • Permissions or restrictions with regard to the Meetings program

Payments

Does your event require payment by registrants? If so, you will need to set up your payment method early. Your choices are:

  • let MeetMax act as bank and collect money on your behalf and remit you the funds from time to time
  • use your own card processor and MeetMax will connect to that:
  1. Authorizenet (a gateway to many processors)
  2. Paypal Payflow (also a gateway to many processors)
  3. Stripe - an alternative to your own credit card processor. Easy to set up if you do not have an online merchant account.
  4. Paypal Website Pro - also an alternative to having your own online merchant account

Meetings Program

  • Are you having a meeting program? Have you decided how this will work?
  • Which roles are allowed to make requests? 
  • Who are they allowed to make requests to? 
  • Can they specify a time, or are the requests general expressions of interest? 
  • Are the targets allowed to decline as well as accept? 
  • Can they change the time and add colleagues or guests? 
  • Will solely end-users choose which meetings occur, or will your team moderate meetings, scheduling and editing?


Public site

What MeetMax calls the public site is the main marketing pages that are public and used to sell the event and encourage people to register.

You may want a simple, single page introduction to the event, and quickly send visitors to the registration form. And this is probably on your own web site.

Or you may want a richer site that features an overview, a page for exhibitors or presenting companies, hotel, an agenda page. You can use MeetMax's public environment which is an elegant way to introduce visitors to the event. This will segue way nicely into the mobile environment if someone is using their phone - and later to the mobile App if you are using one.

Or you may prefer to use a 3rd party conference environment such as Wordpress or Joomla to create a public site and link over to MeetMax for registration.


Email Marketing

Do you plan to use email marketing to reach prospective attendees?

If you have a list of prospects, or invitees, that are legitimate to market to, you can use the MeetMax Invite module and send invites right out of MeetMax. Legitimate means that they are clients or leads with whom you have an existing relationship, or leads who have opted into lists and agreed to receive such marketing communications.

Do be aware of any privacy restrictions that might apply to you and your event.  MeetMax has its own privacy policy, which largely covers your use of MeetMax - but you will want to consider a policy of your own - especially if you plan to do email marketing.
