Where is it?
Once this feature is enabled, you’ll be working in your Attendee List:
Enabling registration approvals
- Step 1. Head to the Configure tab. Choose Event Settings, then Enable Features:
- Step 2. Scroll to the Attendees section.
- Under Do you wish to approve attendees, choose Yes.
- From there, you can choose any user roles that you want to automatically approve. If you’re taking care of adding Companies and Company Reps, for example, you’d want to auto approve those users to save time:
- Step 3. Scroll all the way to the bottom of the page and click Save:
What the registrant sees
After someone completes the registration form, they’ll see the message below (unless they were auto-approved):
After you approve registration, the attendee will be able to log into MeetMax and start taking next steps:
Approving the registration
- Step 1. You’ll get an email to notify you of the new registration. It looks something like this:
- Step 2. From there, you’ll head to your Attendee List to moderate the registration:
- Step 3. If you don't already have the Approved column added to the list, head to the Columns tab and add it:

- Step 4. Head back to the Filter tab now. Filter the list to locate the new registrant. Then use the Approved menu to choose Yes or No:
- Step 5. Whichever you choose, you’ll then have the option to send an email message to the registrant, or not. (More on this in the next section).
Notifying the registrant
You can either send an individual email each time you approve someone, or you can wait and send a batch email to all attendees at once.
Sending individual messages
Once you’ve approved or declined a registration, a pop-up will appear. If you choose to send an email from here, MeetMax will generate an automated notification with a default message.
If you add a personal note in the Message field, we’ll place that above the default message:
If you decline the registration, the notification email works the same way:
If you choose No in the pop-up, MeetMax won’t send an automated email:
Sending a batch email
If you’d rather send a batch email, you’d choose the No option as shown above.
From there, you can send the batch message.
