Importing Invitees from Salesforce

If you have a group of Contacts associated with your Salesforce Campaign, you can import them to MeetMax and invite them to register for your event.

Where is it?

Once you’ve connected the integration, you’ll see a new Salesforce Import option in the Invitees tab:

  We’re assuming here that your MeetMax event is already enabled for Invitee registration.
  We’re also assuming that you’ve already associated a Salesforce Campaign with your MeetMax event.

How MeetMax references Salesforce data

For this process, MeetMax accesses only the Contact records that you’ve associated with a particular Campaign in Salesforce. We also reference the associated Account records.

  • We import names, phone and cell numbers, and email addresses from Contact records.
  • We import business addresses from the associated Account records.

If you have other Contacts in Salesforce that you want to invite to this event, associate them with the Campaign so MeetMax can recognize them.

Importing Contacts from Salesforce

Start this process once you’ve finished associating Contacts with your Salesforce Campaign.

Step 1. In MeetMax, head to the Invitees tab. Choose Salesforce Import:
Step 2. Click the Import from Salesforce button:
You’ll be prompted to confirm the import.
Step 3. When the import is finished, head back to the Invitees tab. Choose Invitee List. Here’s where you’ll see the imported Contacts:
Step 4. If you add more Contacts to this Campaign in Salesforce, you can always return to the Salesforce Import page, as shown in Steps 1 and 2.
The button has changed to a Re-Import from Salesforce button:
Each re-import will overwrite any existing records you’ve already imported. If you’ve made changes to those records in Salesforce, the changes will appear in MeetMax after the re-import.

What happens after import

Once your Contacts are in MeetMax, they’ll be known as Invitees. You’ll then send everyone an invitation to register for your event.

The invitation contains a unique registration link. Once an Invitee clicks that and completes registration, they’re known as Attendees in MeetMax.
