Adding a Hotel

The Add Hotel tab allows you to add a hotel room block for your event attendees. Enter the details of your hotel block including hotel name, number of rooms in the block, and dates. If you have a room block at multiple hotels then you should add a hotel for each hotel location.


To Add a Hotel:

  • Enter the details of your hotel block including hotel name, number of rooms in the block, and dates
  • If you have a room block at multiple hotels then you should add a hotel for each hotel location
  • Enter an attendee price if as the host you are paying for or guaranteeing the rooms. If you enter a value in the Attendee price this price will be reflected in the attendee invoice.
  • Enter a Host price when you are paying for the rooms and want to track your hotel costs. The host price is hidden from attendees.
  • If your room block consists of multiple room types you will need to create a separate hotel item for each room type. For example, if you have a block of 15 rooms at the Marriott Hotel with 10 rooms with two double beds each and 5 rooms with one King bed, you might name those blocks 'Marriott - two doubles' and 'Marriott - one King', then enter the corresponding number of rooms in the 'Num in block' field, (10 and 5)
  • Once you've entered all of the hotel information select 'submit' to save the information

If the numbers of rooms available each night varies, enter the maximum number of rooms per night in the Number of Rooms in the Block field. Then edit the number of rooms on individual nights on the Hotel List page.

To put information about the event hotel, text and graphics on the hotel reservation pages:

  • Go to the 'Messages' tab
  • Select the 'Choose Hotel' page from the list of messages
  • Add the information you want your attendees to see

 

Important note: As a security precaution MeetMax does not store Attendee credit card details for future processing by the conference hotel. If your Attendees are responsible for their own hotel charges and you want to include hotel reservations in your online registration process you will need to include, on the Hotel page, a link to the hotel's own reservation page where Attendees can make a hotel reservation and provide their credit card information directly to the hotel.
