Working with the Hotel List

As your participants request hotel reservations, this page keeps track of your hotel block capacity. You can also make adjustments to hotel blocks here.

Where is it?

Once you’ve enabled Hotels for your event, you’ll see the Hotels tab:

The Hotel List page is available as soon as you’ve added a Hotel block to MeetMax.

  Use the Hotels module only when you’re paying for (or guaranteeing) hotel rooms for your event.
  If your participants will be booking their own rooms, use this process instead.

Monitoring block capacity and requests

Step 1. Head to the Hotels tab, and choose Hotel List:
Step 2. On the Hotel List page, you can see the room blocks you’ve created.
As your participants start making reservations, the Taken column shows how many rooms have been used from each day’s block:
Step 3. To see which participants have made reservations on a particular day, click on that number:

Editing a Hotel block

The Hotel List has several edit points:

  • To change the name of a hotel, or the nights in its room block, click the pencil icon next to its name.
  • To update the number of rooms available on a particular day, click that day’s Edit button.

In the example below, we’re reducing the Grand Convention Hotel’s room block for the last night of our event:

Deleting a Hotel block

You’ll delete Hotel blocks one day at a time. Click the Delete button for each date.

You’ll be prompted to confirm the deletion:

  MeetMax’s Hotel module isn’t connected to your partner hotels. When you delete a room block from MeetMax, it won’t change any reservations at the actual hotel.
