Working with the Blackout Report

This report lets you see when any Attendee or Company is unavailable for 1x1 meetings at your event.

Where is it?

The Blackout Report is in the Meetings tab:

This report reflects all of the blackout times that have been set for your event. To set blackout times, your participants will log into MeetMax after completing registration.

Depending on the filters you’re using, you might get a small set of blackout times or a large one. You can always export a large set as a spreadsheet. Head to the top right corner of the page to export:

  MeetMax also shows you people’s availability throughout the process of requesting and scheduling 1x1 meetings. This report is helpful when you need a more global view.

Filtering for a single Attendee or Company

With this filter, you can quickly see the full picture of one participant’s blackout times.

Step 1. Head to the Meetings tab and choose Blackout Report:

Step 2. Let’s filter for one Attendee’s blackout times. Use either the First or Last filter, and type in all or part of the name:

Now you can see a list of the time slots when this Attendee has marked themselves unavailable for meetings.
Step 3. Filtering for a Company is the same process. Use the Company filter, and type in all or part of the name:

Filtering for a user role

You can filter this list by the role of a participant. This filter often works best when it’s combined with the Company filter.

Step 1. On the Blackout Report page, use the Role filter. Choose the role you need to see. In this example, we’ll set the filter for Company Rep. That shows us all Company Reps’ blackout times, and that can be a large report.
Step 2. What if we want to narrow this down to Company Reps from a single Company? We can add a second filter, set for Company. Then we can type in all or part of the Company name:

Step 3. You can now see the blackout times for all Reps with this Company
You can also use the Role filter to find the blackout times of all Attendees from a specific company.

Need to remove a filter?

  • Click the X button to remove one filter.
  • Click the Clear link to remove all filters:

Excluding expired time slots

If you’re working with this report while your event is in progress, you’ll likely want to see only upcoming time slots.

To leave out past time slots, click the checkbox for Exclude expired time slots:

  MeetMax displays the current time here in parentheses, as a reference. It’s based on the time zone you set for your event.
