Displayed on this page is the rooming list for the event. Each attendee who has requested a room is listed, along with the details of their reservation request.
From this page, you can download, email or print the rooming list.
You can filter this list on the hotel block names and the detail of the attendee. And for your reporting, you can add other fields to the report using the Columns sub tab. If there are specific filters and column layouts that you will need often - then use the Custom Report tab to save it as a named Report which are accessed in in the Load Report drop down.
Actions you can take include adding the confirmation number for each reservation.
To Add the Confirmation Number:
- Begin by sending the reservation list to the hotel to receive back confirmation numbers
- You can send the list of reservations to the hotel using one of the three options in the upper right corner of this page: Excel, Email and Print.
- To download the rooms list to an Excel file: Select 'Excel' to download the file. Once you save the file you can send it to your hotel contact.
- To Email the rooming list directly to your hotel contact:
- Select 'Email' in the upper right corner of the page.
- Enter the email address of the hotel representative you want to receive the reservation list.
- In the 'message' area you can enter an additional message in the body of the text.
- The list of all hotel reservations is included in the body of the email.
- To Print the rooms list: Select 'Print' in the upper right corner of the page, the file will print and can then be faxed to the hotel contact.
- Once you have received the reservation confirmation numbers back from your hotel contact,
- Enter the confirmation code in the 'Confirmation' field.
- As you add a confirmation code MeetMax automatically locks the hotel reservation and the Attendee can no longer make changes to his/her reservation.
- Once a confirmation code has been entered the attendees see it on their schedule
Change Reports: Note: After you send the initial rooms list to your hotel contact, use the change report to view/print/send only those reservation requests that are new or changed since the report was last sent. For instructions on using the Change Report, click on Reports > Change Reports > Hotel using the navigation.
