Submitting a change request for a scheduled meeting: Attendee view

When an event Admin is scheduling meetings, Attendees need an easy way to request updates or cancellations. MeetMax tracks the status of each request.

Once you’ve enabled meeting change requests for your event, Attendees can log into MeetMax and see a Change Meeting page:

Requesting a change to a scheduled meeting

On the Change Meeting page, Attendees see a list of all their scheduled meetings.

Each meeting has a Select Change Type menu:

  • The Cancel and Reschedule options are straightforward.
  • Transfer: Request that a meeting be handed off to a Colleague.
  • Add Colleague: Request that someone else from the Attendee’s company be added to the meeting.

Requesting a change to one meeting

For a single meeting change, the Attendee chooses the type of change. They'll then enter instructions below, and click Submit:

  The instructions field is required, so something must be entered here to save the request.
  Attendees can't edit change requests, but they can submit multiple change requests for the same meeting.

Requesting changes to several meetings at once

An Attendee can also request several changes at once.

They’d choose a Change Type for each meeting. Then add instructions for each change, and click Submit:

Seeing the status of a request

Once the Attendee has submitted their first change request, the Change Meeting page looks more like this:

The Attendee can make new requests any time, and watch the status of their existing ones.

  MeetMax orders the list of change requests by when they were created, most recent first.

In the Status column, the Attendee can see these three statuses:

  • Open: The request hasn’t been processed yet.
  • In Progress: This status displays on requests that involve more than one meeting. Some of the changes have been made, but some haven’t yet.
  • Closed: All requested changes have been made.

How participants are notified

While an Admin works on a change request, they might email the Attendee with questions. Those messages also appear in the Attendee’s MeetMax Inbox.

Once a request has the Closed status, the Attendee will see the update in their event schedule:
