Groups Mode is a designation MeetMax uses for a particular kind of set up for an event and the roles in use.

What is particular about Groups Mode?

 

Does not assume a Requestor knows anyone at the Target Company

When an attendee is making meeting requests, the assumption behind Groups Mode is that they do not necessarily know the names of specific people to request.  They want to meet the company, they may have a topic - but beyond that, they are happy to leave the company to choose who they will meet with.

 

Company Reps can all act on the Requests for their Company

When a Company especially one that might be a exhibitor - is logging in, it is primarily the Reps that are logging in - and they are making and receiving requests on behalf of the entire company.  They can accept requests made to the company and put themselves or someone else into the meetings.

When they make requests - they are making them as the company as far as the Target attendee is concerned - because, again, they may have no idea of who the Rep is on a personal level.   But if they accept - the Rep is added to the meeting automatically, irrespective of his/her having made the request.   This can be changed by them or any colleague.

 

Multiple Diaries

Multiple Diaries allow a Company to have more than one meeting in the same time slot.   For example, at a trade show, a company might have a large booth and several Reps, and 3 desks, and be able to take 3 meetings at the same time. In this scenario, the Company should have 3 Diaries.

When a company has 3 diaries - those diaries are automatically going to get used in any automated meeting scheduling - but they are also available in manual modes to the Reps responding to a request, and to the moderator scheduling from the Meeting Times page.

 

Coordinator

All Reps - at least all Reps who are themselves allowed to take meetings - get to manage the requests.  But there are certain tasks required of the Parent - and these tasks are available to any Rep marked as a Coordinator or an Admin of the Company.  These include

  • Managing the Company Profile page
  • Adding Reps
  • Choosing a Booth
  • Choosing payment options and Paying
