Where is it?
You’ll set up request qualifiers from the Configure tab. Choose Meeting Settings:
This setting uses custom fields you’ve created for your registration forms. We’re assuming here that you’ve already created the fields you need for this qualifier. See the section below for some examples. |
Why is this useful?
For some events, Attendees might want to make themselves available only for specific kinds of 1x1 meetings. Here are a few examples:
- In an event where participants come from many locations, Attendees might want to meet only with people who are from the same city, state, or region.
- If an event’s participants come from many different industries, Attendees might want to meet only with people from specific ones.
- You might have many types of Companies in your event. For example, a start-up event might have participants at ideation stage, seed stage, early stage, and expansion stage. An Attendee could then choose what stage of start-ups they want to meet with.
MeetMax lets you customize the options for your event.
Before you start
There are two important things to consider before you set up a Request Qualifier.
Source and Target
This feature uses MeetMax’s Source and Target roles:
- The Source is the person who requests a meeting.
- The Target is the person who receives that request.
For your event, you’ll have already decided which roles can request meetings, and which ones can receive requests.
You can use this feature with both Moderated and Unmoderated meeting programs.
Your custom form field
The custom field you use in your Request Qualifier should be either a Drop down or a Radio type of field. These fields allow participants to make choices, and MeetMax will match up those choices.
Depending on your event, you can have people make only one selection, or multiple ones.
Creating a Request Qualifier
In this example event, Attendees make meeting requests and Companies receive them.
Our event represents multiple industries, and we want everyone to choose which industries they want to have meetings with.
- Step 1. Head to the Configure tab. Choose Meeting Settings, then Request Qualifiers:
- Step 2. Start with the Source Field. The drop down menu will show all of the custom form fields you’ve created. Choose the one you want to base this qualifier on:
- Step 3. Next, customize the Target Label. This is what Targets will see on this same form field.
- It’s usually helpful to ask a question here, but you can use any description. Be sure to click Save:

What participants see
Everyone sees the same form field, but in different ways.
Requestor’s view
When the person in the Source role registers for your event, they’ll fill out the custom form field:

Recipient’s view
For people in the Target role, you can choose whether they see this form field:
- For some events, you might want to add the Target's preferences from your Admin account.
- For other events, you might want Targets to input their own preferences as they register.
If you want to add the Target's preferences from your Admin account, there's nothing you need to do. On the Contact page, you'll automatically have access to this field:
If you want Targets to add their own preferences, you'll update the Target registration form.
- Step 1. Head to the Configure tab. Choose Form Layout. You'll choose either the Company or Attendee version, depending on who the Targets are at your event:
- Step 2. By default, the qualifier field is added to the Admin version of the form only. Change to the Admin view and you'll see it:
- Step 3. To also save this field to the public registration form, head to the bottom. Click the checkbox to save to both versions of the form. Then click Save:
What happens next
MeetMax then uses these form responses to match up requestors and recipients. People who’ve chosen the same options will be able to book meetings with each other.
When the person with the Source role looks at their Request Meeting page in MeetMax, they’ll only see the Targets who chose the same options. Every requestor sees a customized list of potential meeting partners.
