Auto-assigning meeting locations: Assign Rooms Grid

If you’re scheduling a lot of meetings at once, MeetMax can save you time. The Assign Rooms Grid is a visual tool to speed up location assignments.

Why is this useful?

By default in MeetMax, meeting creation happens in two steps: first you schedule it, then you assign its location. This method is useful when you want complete control over your 1x1 meetings.

The Assign Locations Grid gives you a visual overview of your scheduled meetings so it’s easier to assign locations effectively.

You can assign locations to one meeting at a time, but the Grid also offers two automations:

  • Assigning the same location to all of a Company’s meetings on a particular day
  • Assigning the same location to all meetings, regardless of Company, on the same day

  Every event is unique, so you might not need all the options you see in this article. Reach out to our Support team if you have questions about what’s best for your event.

Assigning a location for a single Company’s meetings

With the Assign Locations Grid, you can automatically assign the same location (based on availability) to all of a Company’s meetings on a single day. If a Company is hosting a lot of meetings, they’ll appreciate having them in one location.

Step 1. Head to the Meetings tab. Choose Meeting Location, then Assign Locations Grid:
Step 2. On the Grid page, click on the tab for the event day you want to update.
Now, locate any unassigned meeting your chosen Company is hosting. Click the X to open the meeting details:
Step 3. You’ll now see a pop-up with this meeting’s details. Use the drop down menu to choose a meeting location. Then choose Yes to assign this location for of this Company’s meetings on this day:
  If you’ve already scheduled some meetings for this Company, MeetMax will prompt you to move any existing meetings to this location. If there’s a conflict, MeetMax will notify you.
Step 4. Alternatively, you can choose Unassigned Meetings Only. That way, MeetMax will assign this location only for meetings that don’t yet have a location. Any meetings you’ve already assigned a location for will stay where they are:
Click Save to process the changes.
Step 5. If you need these settings to apply to other days of your event, go to the tab for each day and repeat this process.

Assigning one location for a whole day’s meetings

If you’re running a smaller meeting program, or you have one location that can handle concurrent meetings, you might be able to place all of a day’s meetings in one location.

The Auto-Assign tab lets you assign the same location to a block of meetings on a single day, no matter which Company is hosting.

You’d start this process once you’d scheduled a number of meetings for your event, but haven’t assigned any locations yet.

Step 1. Head to the Meetings tab. Choose Meeting Location, then Assign Locations Grid:
Step 2. In this example, all the meetings with a red X have no assigned location:
Step 3. In the Auto Assign tab, you can choose a location for all of these meetings. Then click Submit:
Now all these meetings are assigned to that location, regardless of which Company is hosting them. MeetMax, as always, prevents any scheduling conflicts:
Step 4.  If you need these settings to apply to other days of your event, go to the tab for each day and repeat this process.
