Managing meeting requests: Moderated program, participant views

After an Attendee creates a meeting request, they can still make changes. The Company receiving a request can accept or decline it. Here’s a peek into what these processes look like for your participants.

Where is it?

Attendees and Companies will log into their MeetMax accounts to manage meeting requests. Everything they need is in the Meeting Requests tab:

  These pages will be branded for your event, and contain the menu options you’ve enabled.

How Attendees manage requests

Once an Attendee has requested some meetings, they’ll see the Meeting Requests Sent option in MeetMax:

On this page, they’ll see all their current requests, organized into Pending/Unscheduled, Scheduled, and Declined statuses:

While a meeting request is still Pending, the Attendee can cancel it:

  The options an Attendee sees here will depend on how your meeting program is set up. If you see a feature here that isn’t available in your MeetMax account, reach out to our Support team for help.
  If you want Attendees not to see the Meeting Request tab at all, you can always hide it using the Menu Editor.

Ranking and Rating meeting requests

In some meeting programs, it’s helpful to have Attendees rank their meeting requests.

Ranking helps the event Admin schedule the highest-value meetings for all participants. And if the event is using automated scheduling, MeetMax schedules higher-ranked requests first.

On their Meeting Requests page, the Attendee can use the ranking tools to re-order their requests according to priority:

Adding rating details

You can also add a custom Rating form, which captures more detailed information about an Attendee’s needs as they make a meeting request. Learn more about setting up ratings here.

If the Attendee didn’t fill out the Rating form when they made their request, they can always do it from their account. They’d click the arrow, and then choose Rank:

How Companies manage requests

When a Company logs into MeetMax, they’ll head to the Meeting Requests tab:

They’ll see a list of all their pending meeting requests. For each one, there’s an Accept/Decline menu:

  The options a Company sees here will depend on how your meeting program is set up. If you see a feature here that isn’t available in your MeetMax account, reach out to our Support team for help.
  If you want Companies not to see the Meeting Requests tab at all, you can always hide it using the Menu Editor.

Accepting and scheduling the request

Depending on your meetings program, when a Company accepts a meeting request, they might:

  • Schedule the meeting
  • Approve the request and let an Admin do the scheduling

If a Company has access to schedule meetings, then when they accept a request they’ll see a pop-up of meeting details. MeetMax will automatically schedule a day and time that all participants are available, but the Company can change this.

From this pop-up, the Company can also add more attendees or colleagues (if they’re available) to the meeting:

Once a Company approves a request, it moves to the Approved section of the Company’s Meeting Requests page:

  The Interest Level column comes from how the Attendee rated their interest in the meeting. Learn more about meeting request ratings here.

Declining a meeting request

If the Company needs to decline a request, they’ll see a pop-up where they can add a message to the requestor:

After declining, the request moves to the Declined section of the Meeting Requests page.

There’s an Undo link in case the Company wants to reinstate the request:
