Where is it?
In the Company List, you’ll use the Action menu to choose Meeting Requests Received:
In the Attendee List, you’ll use the Action menu to choose Meeting Requests Sent:
Managing requests for a Company
To work with any Company’s meeting requests, you’ll head to the Company List.
Filter it to locate the Company. From there, use the Action menu to choose Meeting Requests Received:
Now, you’ll see the same view the Company sees, here in your Admin account. MeetMax organizes the requests into Pending, Approved and Declined categories:
For each pending request, you can click the arrow to choose from several actions:
Confirming a pending request
If you choose Confirm Request from the menu above, you’ll notify the Attendee and Company that a meeting is happening. But in this case, you’ll be able to add a date, time, and location later.
You can also add the Company’s interest level in this meeting, if you have this data. That can help later with scheduling:
Once you confirm the request, it moves to the Approved section of the Company’s page. There’s a new a Meet link you’ll use to schedule the meeting when you’re ready:
Accepting a pending request
In the Pending section of the page, you can also choose the Accept option:
That lets you schedule the meeting, add a location immediately, and send both parties a notification. Learn more about scheduling meetings here:

Declining a pending request
If you choose the Decline option, you can add a note for the requestor:
The request then moves to the Declined section of the page. There’s an Undo link in case you need to reinstate the request later:
Sending a Message
Sometimes, you’ll have a question for a requestor. MeetMax gives you an easy way to email them, using the Message option:
Managing requests for an Attendee
To work with any Attendee’s meeting requests, you’ll first head to the Attendee List.
Filter it to locate the Attendee you need. From there, use the Action menu to choose Meeting Requests Sent:
Now, you’ll see the Attendee’s view, here in your Admin account. MeetMax organizes the requests into Pending/Unscheduled, Scheduled, and Declined categories:
Ranking pending requests
As an Admin, you can make adjustments to the priority ranking of an Attendee’s meeting requests. (This is a setting the Attendee can make on their side, but you have access to make adjustments.)
Ranking especially helps if your event is using automated scheduling:
If your event is using meeting request ratings, you can also edit that information here (assuming you have access to those details). Learn more about meeting request ratings here.
Canceling a pending request
You can also cancel a pending meeting request on behalf of an Attendee, and notify the Company:
Once you cancel an Attendee's request from your Admin account, it’s removed from both the Attendee and Company views.
In your Admin view, on the other hand, the request stays in the Pending section. That way you can reactivate it later if needed:
Scheduling a meeting from a pending request
If you choose the Meet option, you can assign a date, time, and location for the request. You can also send an email and Inbox notification to all parties:

After you’ve scheduled the meeting, it still appears in the Attendee’s list of Pending/Unscheduled requests:
This is because you’ve scheduled from the Attendee side. The Company needs to approve the new meeting.
The Company will get an email and an Inbox notification in MeetMax. When they log into their account, they’ll see the new meeting to approve:
Once they approve, the meeting appears in the Attendee’s Approved section.
Transfering a meeting request to a colleague
In MeetMax, “Colleagues” are Attendees who are affiliated with the same Company. Some Attendees will have colleagues at your event and some won’t.
If an Attendee does have at least one colleague, you might need to use the Transfer option. It moves all meeting requests to a colleague.
You can also notify the colleague and Company of the change:
If you choose Copy here instead of Transfer, MeetMax adds the colleague to all meeting requests, alongside the original requestor.. |
Managing a declined request
If an Attendee has requests that were declined by a Company, you can do a few things with them from your Admin view:
- Choosing Undo reinstates the request. The Company will see it in their Pending requests once again.
- Remove deletes the request from this Attendee’s account.
- Message lets you send an email to the Company about the request.
