Managing scheduled meetings: Unmoderated program

Once Attendees have scheduled meetings with each other, they can update details or cancel at any time. MeetMax automatically notifies everyone of the updates.

MeetMax organizes each Attendee’s scheduled meetings in two locations:

For meetings the Attendee requested, they’ll edit from the Meeting Requests Sent page:
For meeting requests the Attendee received, they'll edit from the Meeting Requests Received page:

For an Unmoderated meeting program, everything happens here in the Attendees’ accounts. As an Admin, you can make adjustments on behalf of Attendees if needed, but you won’t be handling all meeting management.

Changing the meeting time and location

Attendees can edit their scheduled meetings, whether they were the requestor or the recipient.

In this example, we have two Attendees involved in a meeting:

  • Daniel Testerson sent the original meeting request to Tim Userton.
  • Tim accepted Daniel’s request and scheduled the meeting.

How the Requestor edits a meeting

If Daniel wants to edit this meeting, he’ll follow these steps:

Step 1. Daniel heads to the Meeting Requests Sent tab:
Step 2. There, Daniel sees all of the scheduled meetings he’s requested.
Each has a date and time link. Daniel clicks that to make changes, then chooses Edit:
  The pages Attendees use will be branded for your event, and contain the menu options you’ve enabled.
Step 3. A pop-up appears, where Daniel can choose another time and/or location. He can add a note to Tim if needed, and click Submit to save the change:
  MeetMax prevents schedule conflicts behind the scenes. Attendees will only see time slots and locations that are available to all of a meeting’s participants.

How the Recipient edits a meeting

Let’s use the same example meeting here. What if Tim (who received Daniel’s meeting request) wants to make changes?

Step 1. Tim heads to the Meeting Requests Received page:

Step 2. There, Tim sees all of his Approved meeting requests. Each one has a date and time link.
Tim clicks that link and chooses Edit:
Step 3. From there, the process is the same as for the requestor. Tim can change the time slot and location, and add a note if needed.
Tim then clicks Submit to make the change:

Adding Colleagues to a meeting

In MeetMax, Colleagues are registered Attendees from the same company.

If an Attendee has Colleagues at your event, they can add those Colleagues to any meeting any time.

Canceling a meeting

Both the requestor and the recipient can cancel a scheduled meeting.

Either person can log into MeetMax, head to the Meeting Requests tab, and choose the Sent or Received page.

Once they locate the approved request, they’ll use the menu to choose Cancel:

A pop-up appears, where the person canceling can:

  • Choose a cancellation reason
  • Either delete the original meeting request, or leave it in place so another meeting can be scheduled
  • Add an optional personal note

The person cancelling then clicks Submit to process the cancellation.

How participants are notified

Each time a meeting changes or cancels, its participants get two notifications.

The email notification looks something like this:

How an Attendee checks their meeting schedule

Each Attendee can use the Your Schedule tab to get an overview of their current meetings any time:

The Your Schedule page isn’t editable. To make changes to any meeting listed here, the Attendee would head back to the Meeting Requests tab.
