MeetMax offers a variety of schedule formats.

Before you start emailing, you might want to check the schedule settings. There, you can customize the formatting of any schedule.

Choosing which Attendees to email

If you want to send schedules to every registered Attendee, skip to the next section. If you want to email a specific group, read on.

Step 1. Head to the Attendees tab. Choose Attendee List:
Step 2. Use the Filter tab to narrow the Attendee List down to the specific group you want to email. MeetMax has two menus of filters.
In the lower menu, you can set filters related to the Attendees themselves. Two examples:
 • You can filter the list to employees of specific companies.
 • If you’ve organized your Attendees into groups, such as sales territories, you can filter for those:
The upper menu lets you filter by specific actions Attendees have taken. Below are some useful filters for sending schedules:

Choosing which schedule to send

When you have the view of the Attendee List that you need, head to the top right corner of the page. Choose Bulk Actions, then Batch:

The Schedule option you see here is for printing schedules.

You’ll now be in the email editor. Let’s start with the Attachment menu, which is what generates each person’s unique schedule.

You can choose one Attachment for each batch email. Below are the schedule-related Attachments:

  • Combined Attendee Meeting Schedule: Sometimes, you’ll have multiple Attendees who work for the same company. If they need a schedule that includes everyone’s meetings in one list, use this attachment.
  • Meeting Schedule: This attachment combines the Meeting, Presentation, and Activities schedules into one email.
  • Presentation Schedule: This attachment displays only the schedule of Presentations the Attendee has signed up to attend.
  • Presenting Schedule: If the Attendee is a presenter, this attachment shows them all the sessions they’re presenting.
  • Unexpired Meeting Schedule: This attachment is useful once your event is in progress. It shows the Attendee’s schedule of meetings, but only those that haven’t happened yet.
  • Unified Schedule: This attachment combines the Meeting, Presentation, and Activities schedules into one email.

Step 2. Here in the email editor, you can also set up who’d cc-ed on the emails and designate a send time. The default sender is your MeetMax account email address. You can change this if needed:
Step 3. Be sure to add a Subject line! You can also add a personal message if you like.
If you’d like a confirmation email when the batch has been sent, use the Confirmation to field.
When your email is ready, click Continue to Preview:
Step 4. You can now preview individual schedules by clicking the arrows:
If all looks well, click Begin sending emails:
MeetMax sends emails in batches of 50. At the end of each batch, you’ll be prompted to send the next one.
