MeetMax offers a variety of schedule formats.
Before you start emailing, you might want to check the schedule settings. There, you can customize the formatting of any schedule.
Choosing which Companies to email
If you want to send schedules to every registered Company, skip to the next section. If you want to email a specific group, read on.
- Step 1. Head to the Companies tab. Choose Company List:
- Step 2. Use the Filter tab to narrow the Company List down to the specific group you want to email. MeetMax has two menus of filters.
- In the lower menu, you can set filters related to the Companies themselves.
- For example, if you’ve organized your Companies into groups such as sales territories, you can filter for specific groups:
- The upper menu lets you filter by specific actions Companies have taken. Below are some useful filters for sending schedules:
Choosing which schedule to send
When you have the view of the Company List that you need, head to the top right corner of the page. Choose Bulk Actions, then Batch:

You’ll now be in the email editor. Let’s start with the Attachment menu, which is what generates each Company’s unique schedule.
You can choose one Attachment for each batch email. Below are the schedule-related Attachments:
- Activities: This attachment lists any activities the Company account has signed up to attend.
- Combined Attendee Meeting Schedule: This attachment lists the Company’s meeting schedule, along with the Company Reps who are assigned to participate in each meeting.
- Meeting Schedule: This attachment combines the Meeting, Presentation, and Activities schedules into one email.
- Presentation Schedule: This attachment lists all presentations the Company has signed up to attend.
- Presenting Schedule: If the Company is a presenter, this attachment shows them all the sessions they’re presenting.
Sending the emails
- Step 1. Choose an Attachment as shown above.
- Step 2. Here in the email editor, you can also set up who’d cc-ed on the emails and designate a send time. The default sender is your MeetMax account email address. You can change this if needed:
- Step 3. Be sure to add a Subject line! You can also add a personal message if you like.
- If you’d like a confirmation email when the batch has been sent, use the Confirmation to field.
- When you’re ready, click Continue to Preview:
- Step 4. You can now preview individual schedules by clicking the arrows:
- If all looks well, click Begin sending emails:
