Using an Institutional schedule

With this type of schedule, a group of Attendees from the same company can see all of their colleagues’ meetings. This helps teams coordinate efforts at your event.

From your Admin account, you’ll view Institutional schedules from the Attendee List:

Why is it useful?

For some events, Attendees or Company Reps from the same company might want to see what meetings their colleagues are scheduling. That way, the group as a whole can make the best use of their meetings, and coordinate to cover meetings for each other.

Alternatively, a team lead might want to know what meetings their team has scheduled.

You can give every Attendee/Company Rep at your event an Institutional schedule format, or generate single copies to send to team leads.

Setting all schedules to Institutional format

If you need all Attendees or Company Reps to see this format, use the Schedule Settings. You’ll be able to give this format to one role or both:

Emailing or printing a single Institutional schedule

If you want to send an Institutional schedule to one person (such as a team lead), use this method. This way, you won’t apply the Institutional format to all schedules.

Step 1. Head to the Attendee List:
Step 2. Filter the list to find the Attendee you need. Use the Action menu to choose Inst Schedule:
Step 3. You’re now viewing this Attendee’s schedule, with all their colleagues’ meetings included.
Head to the top right corner of the page, and choose either Email or Print:

Emailing a batch of Institutional schedules

You can also send out Institutional schedules in a batch email.

This method is great if you want to send to a specific group of participants, but you don’t want everyone to have this format.

Step 1. Head to the Attendee List:
Step 2. The key here is how you filter the Attendee List - that creates the group you’re emailing. Learn the basics of filtering here:
 • You might filter the list by Company, and use a single name. Or you might add several Company filters, as shown above, so you can email employees from several companies at once.
 • If you have Attendees organized into groups, you can filter by a group name.
 • Alternatively, you might have created a custom field in your registration form, to determine who needs an institutional schedule. Then you can filter by that field.
Step 3. When you have the Attendee List filtered, head to the top right corner. Click on Bulk Actions, then choose Batch:
Step 4. You’re now in the Batch emailer. Head to the Attachment menu.
Choose the Combined Attendee Meeting Schedule attachment. This attachment creates a personalized Institutional schedule for each recipient:
