When does MeetMax check for duplicates?
MeetMax will check for duplicate records any time a registration form is created or saved. This includes:
- Importing a list of Invitees, Attendees, or Companies
- Manually adding any participant: Invitees, Attendees, or Companies
- Manually adding Client Reps
- Users registering themselves via public registration
- Adding or Editing Attendees, Invitees, or Companies to MeetMax via any of our API services
- Making edits to any participant or Client Rep record
Usernames can’t be duplicated
MeetMax only allows a Username to be used once.
Multiple registrations can, however, be created with the same email address. This helps an executive assistant or sales rep register someone else for your event, but manage all communications through their own email address.
Even when two registrations use the same email address, they must have unique usernames.
What data does MeetMax check?
MeetMax looks for particular sets of matching data, depending on the type of user you’re adding or updating.
Attendee records
MeetMax looks for duplication of:
- Username and Event ID number
- Company name, First name, and Last name
- Event ID number and on-site Checkin ID number
- CRM ID number and Event ID number
Company records
MeetMax looks for duplication of:
- Event ID number and on-site Checkin ID number
- CRM ID number and Event ID number
- Company name, Event ID number, and designation as a Company
- Username and Event ID number
Company Rep records
MeetMax looks for duplication of:
- First name, Last name, Company ID number, and Event ID number
- Email address, Company ID number, and Event ID number
Invitee records
When you import records, you always specify the user role.
That causes MeetMax to choose the correct set of data checks above for the import.
Registrations pending payment
If your event is taking payments, you might have people who’ve registered but not yet paid. MeetMax treats these as pending registrations.
When these participants return to MeetMax to pay, they’ll be able to either:
- Log back into the account they created at registration
- Create another pending registration
MeetMax doesn’t check for duplicate records in these cases, because we don’t want the participant to have any roadblocks to completing their payment. The participant could actually create multiple pending registrations, but none of these are completed registrations yet.
Once the participant completes payment on one of these registrations, that becomes their official registration. MeetMax then applies duplication rules to the pending registrations, so that they can’t be completed. You can delete these from the Pending Registrations page.
