Why is this useful?
By default, MeetMax places Company Reps in 1x1 meetings. But sometimes, a Rep might attend your event to participate in their Company’s presentations.
In these cases, you’ll need to make sure the Company Rep is scheduled into all of the Company’s presentations. In this article, we’ll automate that scheduling to save you time.
| This process is designed for the Company presentation type. If your event will have Panels, reach out to our Support team. They’ll enable Company Reps to be individual presenters, so you can add them to any Panel presentation. |
Enabling Conflict Management
First, let’s enable this setting for your event. It prevents Company Reps from being scheduled into meetings at times when they’re presenting.
Take these steps before you start scheduling.
- Step 1. Head to the Configure tab. Choose Event Settings, then Enable Features:

- Step 2. Scroll down to the Conflict Management section. Under Presenting In, choose Yes:

- Step 3. Scroll to the bottom of the page and click the Save button:

This conflict setting applies to both the Company and all of its Reps.

Adding the form field
Next, you’ll add the Presenting field to the Attendee registration form. (In MeetMax, Company Reps are a type of Attendee.)
Depending on your event, you’ll choose one of these options:
- Add it to the public form: Use this if the main Company Contact will register all their own Company Reps. The Contact wants to choose who is and isn’t presenting.
- Add it to the Admin version of the form: Use this if you want your Admin team to control which Reps are and aren’t presenting.
- Step 1. Head to the Configure tab. Choose Form Layout, then Attendee, then Edit Form:

- Step 2. In the top left corner, set the Form version menu. Choose whether you’ll add it to the Attendee (public) version, or the Admin version:

- Step 3. Head to the bottom right corner and click the Add field button. Choose the Presenting field:

- Step 4. In this example, the Presenting field only applies to Company Reps. We don’t want Attendees to see it, so let’s set some permissions.
- Click the Edit icon for the field:

- Step 5. In the pop-up, click on the Require/Hide sub-options tab.
- Use the checkboxes to make this field Hidden for Attendees and Guests, but Required for Company Reps:
- Click Submit to save:

- Step 6. If you want this field in only one version of the form, make sure the checkbox is un-checked.
- If you want it to appear in both the Attendee and Admin forms, check the box.
- Then click Save:

How a Company uses the field
If your event’s participating Companies are adding their own Reps, the Company Contact logs into MeetMax, and chooses Company Reps:

The Contact can set each Rep’s presenting status from here:

How an Admin uses the field
If your Admin team is adding Company Reps, they’ll do that from the Company List:

Filter the list to locate the Company you need. Then use the Action menu to choose Company Reps:

You’re now in the Admin version of the Company Rep form. You can set the presenter status from here:

How presentation scheduling works
In this example, Chicago Fund has two Company Reps at our event. Here’s a filtered view of the Attendee List, where we can see them.
Since we’re using the Presenting field, we can now add it as a column here.
- Doris Repperson is a Presenting Company Rep.
- Brian Reppest is not - he’ll be in meetings instead.

Next, we’ll add a new presentation for Chicago Fund. Here it is on the Presentations List:

MeetMax automatically adds Doris as a presenter. When Doris logs into MeetMax to view her schedule, she’ll see it in the Your Presentations section:
