User Roles in MeetMax

Let’s look at the key players in your event, and how they’ll be defined in MeetMax.

Why is this important?

For most events, you'll have "buyer" participants and "seller" participants.

You’ll want to customize the registration experience for each group, as well as the information they can access. You’ll also want to customize the messages they’ll receive before, during, and after your event.

With this set of user roles, it’s easy to give everyone the best experience.

  We're discussing MeetMax's default user roles here. For your event, you might be using customized user roles and role groups with slightly different names. But you'll still see these default terms throughout MeetMax.

Attendees

Attendees are the individuals who register, pay, and come to your event. You might also think of them as "Buyers."

Some events use custom names, like Investor or Delegate, for this role.

You can add or import new ones from the Attendees tab. Manage your Attendees from the Attendee List page:

Company, Company Contact

In MeetMax, these two roles are closely related.

Company

A Company is an organization that registers for your event to present a session, be a sponsor, exhibit, or meet with Attendees. You might think of them as "Sellers."

Some events might use a custom name for this role, like Sponsor, Bank, or Entity.

As the name suggests, they’ll appear on your Company List.

You can add or import new Companies from the Companies tab. Manage your Companies from the Company List page:

The Company account has one or more admins, who can approve meeting requests and assign Company Reps to meetings.

Company Contact

This is a special role for any person who coordinates the participation of another individual at your event. It’s a useful role for the executive assistant of a participating CEO, for example.

A Company Contact might or might not actually attend the event – they're assisting someone else to attend.

Company Reps

Think of Company Reps as Attendees who also happen to be part of a participating Company.

Company Reps usually represent their company in 1x1 meetings with Attendees. Sometimes Company Reps aren't part of 1x1 meetings - maybe they only give presentations, for example. Company Reps can also attend presentations and activities at your event.

The Company account's main admin can designate the way a Company Rep participates in the event.

Client and Client Reps

The Client is you! You won’t see this role often in MeetMax, but it applies to your company – the event’s host.

You might want to create logins for certain people in your organization, so they can admin your event in MeetMax. These people are called Client Reps (or Admins).

You can create and manage Client Rep accounts in the Configure menu. Choose Client Reps to get started:

Guests

This is an optional role that only applies to certain events.

The Guest role is useful if your event has receptions or parties where an Attendee can bring a "plus one." That person can be registered as a Guest, so they won’t receive any other event communications.
