Preventing scheduling conflicts

Whether your event has 1x1 meetings, presentations, activities, or all three, MeetMax keeps participants from getting double-booked.

How MeetMax handles conflict management

By default, MeetMax has built-in conflict management for 1x1 meetings. There’s nothing you need to do to set that up.

Each of your participants will set their own meeting availability times, and that controls when meetings can be scheduled. Once two (or more) people schedule a meeting, that time slot becomes unavailable in all of their schedules.

If your event will also have presentations, you can set MeetMax to prevent conflicts between presentations and meetings:

  • Once a presentation is scheduled, no one can book 1x1 meetings with the presenter, or anyone who’s signed up to attend.
  • If a Company already has a 1x1 meeting booked, MeetMax won’t let you schedule them to give a presentation at the same time (and vice versa).

Similarly, if your event has activities, MeetMax can prevent anyone who’s registered for an activity to be scheduled for a meeting at the same time.

Setting up conflict management

Step 1. In the Configure Tab, choose Event Settings and then Enable Features:
Step 2. Scroll to the Conflict Management section. You can configure these three settings, depending on the needs of your event:
  • Presenting In: Setting this to Yes means that anyone who’s scheduled to present a presentation can’t be booked for meetings at the same time.
  • Attending Presentation: A Yes here means that once an Attendee indicates their interest in attending a presentation, MeetMax won’t allow any concurrent meetings.
  • Activities: When this is set to Yes, once an Attendee signs up for an Activity, MeetMax will prevent any meetings being booked at the same time.
Step 3. Scroll all the way to the bottom of the page, and click the Save button:
 

What if you already have schedule conflicts in MeetMax?

If you already have some schedule conflicts in your event, MeetMax won’t be able to turn on its conflict management tools. You’d see an error message, prompting you to resolve those existing conflicts first.

The Overlapping Scheduled Items report can help with that process.

Best practices

Every event is unique, but here are some general tips for using the conflict management tools effectively:

  • The best time to enable the scheduling conflict tools is before you’ve scheduled any meetings, presentations, or activities.
  • Enable the conflict management settings before your participants gain access to MeetMax.
  • Before you start booking 1x1 meetings, all participating Companies should set up their meeting availability, and all Attendees should set up their blackout times. (Attendees can still make meeting requests, because requests aren’t tied to a specific day/time until they’re accepted.)
  • MeetMax can prevent conflicts for presentations and activities once an Attendee signs up for them. The exception is if you use the Universal setting on a presentation or activity. Then it appears on everyone’s schedule automatically, and MeetMax will prevent conflicts for everyone.
  • Think of the conflict management system as “first come, first served.” For example, If a meeting gets booked first, MeetMax prevents its participants from booking presentations and activities at that time. If an activity registration happens first, that prevents the participant from being booked for meetings and presentations at that time.
