MeetMax lets you hide meeting schedules in development from Attendees and Companies. Then you can reveal everything when you’re ready.

Hiding the Schedule and Calendar tabs
- Step 1. Head to the Configure tab. Choose Site Design, then Menu Editor. Choose Attendee Menu:
- Step 2. On the Menu Editor page, check the boxes for Your Schedule and Calendar. This hides them temporarily from the participant’s view:

The matching icons will hide automatically. - Step 3. Click Save. Attendee pages will stop displaying these tabs.
- Step 4. Head to the Company Menu Editor now, and repeat these steps:
This process will also hide individual schedules for presentations and activities. Your participants can still see those details and complete sign-ups on the Presentations and Activities tabs. | |
If the Your Schedule and Calendar tabs are hidden for some participants and visible for others, our Support team might need to make an adjustment to your event’s user groups. |
Revealing the final schedules
When you’re ready to reveal the schedules, repeat the process above. Click the boxes again to unhide them:
Be sure to click Save!
Notifying participants when schedules are available
Once you’ve unhidden the Attendee schedules, you’ll want to send a batch email to let everyone know. You’ll use the Messaging tab for this. Learn more about batch emailing here:
If you need to notify Companies, the process is the same. Choose Companies from the menu above and then follow the steps below. |
If all participants have scheduled meetings
You can use this process for sending an email to everyone. In the Attachments menu, choose one of these options:
- Meeting Schedule, to include only 1x1 meetings
- Unified Schedule, to include meetings, presentations, and activities:
If only some participants have scheduled meetings
The Filter tab lets you send notifications only to the Attendees who have meetings. Use the With Confirmed Meetings filter:
