Where is it?
To enable Attendee-to-Attendee meetings for your event, reach out to our Support team.
Once that’s done, each Attendee can log into MeetMax and use the Meeting Requests tab. Then they’ll head to the Received page:

For an Unmoderated meeting program, everything happens here in the Attendees’ accounts. As an Admin, you can make adjustments on behalf of Attendees if needed, but you won’t be participating in the meeting creation process.

Scheduling from a meeting request
We’re assuming here that your Attendees have already sent each other some meeting requests.
- Step 1. An Attendee can log into MeetMax and head to the Meeting Requests Received page.
- Here, they’ll see all the pending requests other Attendees have sent them:
- Step 2. When the Attendee finds a request they’d like to convert to a scheduled meeting, they’ll click Accept:
- Step 3. A pop-up appears. Here, the Attendee adds all the meeting details:
- • MeetMax has automatically assigned a Meeting Time, but the Attendee can choose a different time if they wish.
- • Choose a Meeting Location
- • Add a personal Message if needed
- • Click Submit to schedule the meeting
MeetMax is always preventing scheduling conflicts behind the scenes. Attendees will only see time slots and meeting locations that are available for all of a meeting’s participants./td> |
If your event will include Presentations and Activities, you can include these in conflict prevention as well.
You can also reserve specific meeting locations for specific Attendees to use, if needed.
Adding Colleagues to a meeting
In MeetMax, Colleagues are Attendees from the same company.
As any Attendee is accepting a meeting request, they’ll have the option to add their Colleagues to the meeting.
In this example, Richard Exampling has received a meeting request from Janet Samplington. And it’s clear this will be a high-value meeting, so Richard wants his colleague, Erin Examplers, to attend.
- Step 1. While he's accepting this meeting request, Richard can click the Colleagues link:
- Step 2. That click lists all of Richard's registered Colleagues in the pop-up.
- Richard then clicks the checkbox for any Colleagues that need to be added to this meeting:
- Step 3. All added Colleagues will see a new meeting request in their accounts. They can approve or decline just like they would with any other request:
- The added Colleagues also get email and Inbox notifications of the request (see below).
Meeting notifications
Once this meeting is created, The original requestor gets an email notification that looks something like this:
They’ll also see the same message in their MeetMax Inbox:
